Guide to eHive

How to add biographies to your eHive database

Step 1 - Logging in

​Each regional site has their own organisational log-in details. Please request this from your Regional Mentor.

​To access eHive, please click here.

Once logged in, you will be able to see all database entries from volunteers at your regional site. Please do not edit or delete entries that you yourself have not submitted unless otherwise asked to by your regional mentor or a staff member at your site.

Step 2 - Adding your biography to the database

​Click on the tab along the top called ‘Create’. This should take you to a new page, where you need to select the ‘Archives’ option.

The next page will allow you to add your biography details.

The fields you need to complete are as follows:
  1. Accession Date – Please put in today's date, as this is the date you first uploaded the record to the database.
  2. Name/Title – Please insert your inmates name, starting with their surname and separated with a comma. E.g. ‘Newell, Benjamin’.
  3. Series Title – Choose the relevant option from the drop-down menu.
  4. Controlling Institution – Choose the relevant option from the drop-down menu.
  5. Object Type – Choose ‘Biography’ from the drop-down menu.
  6. Dublin Core – Choose ‘Text’ from the drop-down menu.
  7. Public Description (About this object) – Copy and paste the full biography, including title and headings, and reference list. You may need to go through the text once pasted into the box to check for any changes to the spacing of your paragraphs. Please make sure that the reference list is easy to read by putting a space between each entry. To see an example entry, please click here.
  8. Creator – Choose your institution from the drop-down menu.
 
Scroll to the bottom and hit ‘Save’. An action box will appear – here you need to select ‘Publish to eHive’ and ‘Publish on More Than Oliver Twist’ then hit ‘Save’. This means that your biography will now appear under your institutions page, as well as being listed on the More Than Oliver Twist Community page and will be fully accessible to the public.

Once published, please check the public view to ensure that the formatting is neat and that the biography reads well.

Step 3 - Updating Copyright Licenses

​On the following page, you will be presented with your newly made item entry. On the menu on the right-hand side of the screen, select ‘Update Copyright License’.

This will take you to a new page, where you must select ‘Attribution - Non-commercial - Share Alike (cc)’ – then hit save. This license lets others remix, adapt, and build upon your work non-commercially, as long as they credit you and license their new creations under the identical terms. Step 4 - Adding PDFs

​Only add a PDF if your biography contains images or other data that will not upload into the Public Description or that you are do not want to upload separately to images. PDFs and images take up a lot of memory and should be used on a very limited basis.

If you have been granted permission to add the PDF file to your biography by your Regional Mentor/volunteer coordinator, please go to your biography page. On the menu on the right-hand side of the screen, select ‘Edit PDF Files’.

This will take you to a new page, where you must click on the text to upload the PDF version of your biography that is saved to your computer.

Once uploaded, you can change the PDFs name to something more user-friendly (such as ‘William Kilmer Biography - More Than Oliver Twist’) then hit ‘Save’.

Step 5 - Adding images

Make the image as low a resolution as you can. The more images that are uploaded the fewer number of biographies that can be placed on the site.

To reduce the size of your image (and especially header name labels), open you document in photos. Select ‘Resize’ from the drop down dots. Select ‘Best for profile and thumbnails 0.25 MP. Close on ‘x’ and re-save image. It should result in a clear image to upload that is under 25 KBs.

​If you have been granted permission to add an image file to your biography by your Regional Mentor/volunteer coordinator, please go to your biography page. On the menu on the right-hand side of the screen, select ‘Edit images’.

This will take you to a new page, where you must click on the text to upload the desired image that is saved to your computer.

Once uploaded, you can change the name of the image to something more user-friendly and informative (such as 'Gravestone of Ethel Oswick (1871-1893), North Elmham Churchyard, Norfolk. Photo credits: Caroline Woods’) then hit ‘Save attributes’.

Scroll further down the page to edit the thumbnail image that will appear - remember to hit 'Update thumbnail' once adjusted.

Step 6 - Adding Tags

Please go to your biography page. On the right-hand side of the screen, you will see a box with the title ‘Tags’. Please type into this text box any relevant tags that will help eHive users find your biography. Include tags such as place names, people, dates, events, and themes. Use commas to separate multiple tags, e.g. Norfolk, social welfare, welfare, Poor Law, 1834 etc. Then hit ‘Add tag’ to submit your tags.

Alternatively, you can add the tags one by one, hitting ‘Add tag’ after inputting each word into the text box.
